Based in Dubai, this role will perform the following general administrative duties:
Team admin duties
Assist in organizing group meetings by soliciting meeting package from hotels or other venues; organize meals; and provide on-site admin support, if necessary. Communicate with attendees on the details of the meeting arrangements and meeting agenda.
Report office sustainability, community services hours spent by IMEA team
Office management and local compliance duties
Oversee the general upkeep of the office, including handling of office maintenance contracts relating to the maintenance of the office as rendered by external vendors.
Liaise with the building management on matters relating season parking for employees etc.
Local compliance document attestations and management
Sourcing & stock of pantry
Administering employees special occasion gifts/floral arrangements
PA duties
Support leader in calendar planning
Travel arrangements assistance such as flight bookings, hotel reservations including visa application
Submitting expenses for approval
1-3 years of working experience in office administration
Minimum diploma holder
Strong in planning and organizaing skills with high attention to details
Past experience in managing office space as well as travel aarrangements is preferred.
