Roles & Responsibilities
- Daily and weekly progress reports and updating tracking systems.
- Data Entry of timesheets and project costing.
- Reception and general office duties.
- Checking & sorting office equipment.
- Collect all tickets, competencies, and certificates from all site personnel.
- General IT maintenance of files, and document preparation.
- Liaising with other departments for access to job sites; assisting with subcontractor/supervisor in their office queries
- Organize and schedule appointments for site management if required.
- Write and distribute email, correspondence memos, letters, and forms.
- Maintain a filing system
- Update and maintain office policies and procedures (visitor & employee guidelines)
- Order office supplies and keep inventory management
- Maintain contact lists for directors
- Book travel arrangements for Site management
- Submit and reconcile expense reports for site management.
- Provide general support to visitors.
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Catering arrangements if required for meetings.
