III. Organizational Context and Scope
Under the overall supervision of the Chief of Mission and the direct supervision of the Head of IBG Unit and in coordination with the Senior Liaison and Coordination Officer (Project Manager), the incumbent (based in Bahrain) will be responsible for providing the administrative, financial and technical support functions related to the implementation of the project Arab Centre for Technical Cooperation on Migration and Border Management in KSA.
IV. Role and Responsibilities
• Assist in liaising with counterparts on the development of all printed and electronic materials for the project.
• Contribute to and coordinate the development of Standard Operating Procedures (SOPs) under the purview of the programme, including the review and finalization of material prepared by expert consultants.
• Coordinate and assist in developing agendas and oversee logistics for workshops, meetings, trainings, study tours and any other activities as defined or arising as a result of the project.
• Coordinate and follow up with other IOM country and satellite offices participating in the project, to maintain effective and timely implementation of activities.
• Deliver training sessions and presentations in conferences, workshops and meetings related to technical expertise on IBG thematics.
• Draft agendas, concept notes and invitation letters, meeting minutes and other outputs and correspondence related to technical and high-level workshops, trainings, conferences, study tours, and international dialogue events, gathering Member States from the Arab region and beyond, and coordinate the necessary administrative, organizational and logistical arrangements for such events to take place.
• In coordination with the head of unit, work closely with government counterparts to provide comprehensive support on the identification and recruitment of key experts to support the institutionalization of the Government of Saudi Arabia s immigration and border governance.
• Maintain a detailed e-filing system for all project documents, in support of reporting processes and in anticipation of any internal or external audits, in accordance with IOM rules, as well as donor auditing requirements.
• Participate in seminars, visits, assessments and other meetings as requested by the Head of IBG Unit.
• Provide administrative, logistical and operational support by assisting in the development and organization of workshops, trainings, study visits and other events.
• Support in the translation and proof-reading of project-related documents.
• Support the head of unit to identify and build opportunities to further IOM s work in the region and through government liaison, drafting concept notes and project proposals, identifying potential partners and supporters, in line with IOM guidelines.
• Perform such other duties that may be assigned.
V. Required Qualifications and Experience
Education
• University or Bachellor s degree in Business Administration, Development/Migration Studies, International Relations or a related field from an accredited academic institution with at least four years of relevant professional experience; or
• High School diploma with six years of relevant professional experience.
Experience
• Previous experience with an international organization is an advantage
• Demonstrated experience and knowledge of administrative processes
• High level of computer literacy

Required
For this position, fluency in English and Arabic is required (oral and written).
