Job Description

We have an exciting opportunity to join Qatar Airways (QR) as an Administrative Officer. This is a fast paced role based in our Head Office in Doha, Qatar and will report directly to Senior Manager Africa.

In this role, you will provide a range of administrative, logistical and organisational support to Senior Manager Africa, Regional Office –Africa and Outstation. You will manage and evaluate administrative requests from within the department and ensure all are within corporate guidelines. You will represent the department in a professional manner as first line of communication with internal and external individuals.

Specific accountabilities for this role include:

Act as first point of contact for incoming queries and provides key liaison with the main external and internal stakeholders for all contact of Regional Office Africa. To record, filter, disseminate and communicate all incoming and outgoing matters, taking follow-up action where appropriate.
Provide administrative support to the Senior Manager Africa and Regional Office including answering phones, distributing post, word processing, preparation of PowerPoint presentations, drafting of letters, electronic communications, minute-taking, setting up and maintaining excel spreadsheets, data input into databases, management of databases, file management, diary management, photocopying and any other related duties.
Plan, organise and prioritise tasks in order to meet deadlines, independently manages the swift day-to-day operations of Regional Office
Attend meetings where required to record minutes, manage administration, assist with reports.
Arrange Regional Conference, Meetings and Workshops.
Make travel arrangements in line with agreed guidelines and procedures as per Duty Travel Policy. Supervise and control the cost of Duty Travel to maintain a cost effective, well-panned business trips and adequate programs and trainings.
Responsible for supporting the Line Manager and the department in delivering planned projects within a specified deadline, in terms of documentation, follow-ups, task coordination – for example involvement in opening of new station and station’s start-up project in terms of Administration/Logistic, IT related, Legal matter, Contracts, Procurement process and Training.
Evaluate and review all approval requests are in line with the policy.
Responds to queries and requests for information and assistance, interprets and explains procedures and policies pertaining to internal inquiries of management and staff.
Check and monitor the expense claims of station heads on monthly basis and ensure every stations request and expense are budgeted.

QualificationsAbout you

To be successful in this role, you will have a minimum of four years administrative experience in a similar role ideally supporting senior management. A bachelor’s degree is preferred but not essential.

You will have high computer literacy and advanced skills in Microsoft office (Word, Excel, Access, PowerPoint and outlook).

You will be an exceptionally organised individual with advanced communication skills and the ability to interact confidently with stakeholders on all levels.

Ability to work under pressure in an ever-changing environment is essential to be successful in this role.
